Every sole trader (živnostník) knows the feeling. The meeting is over, the work is done, but you still have to sit down at the computer, open the invoicing app and fill everything in by hand. And that is just the start. Then you have to track due dates, retype invoices received from suppliers, and match payments. The good news is that invoicing tools today let you automate several routine tasks, and with the arrival of artificial intelligence, the possibilities keep expanding. That frees up your hands for your actual business.
Automating Invoicing
Basic automation does not need any artificial intelligence at all. Invoicing apps such as Fakturoid automatically match incoming payments with issued invoices, so you always know what has been paid and what has not. It also keeps track of who has not paid after the due date for you, and easily handles sending automatic reminders too. Do you invoice the same clients the same amount every month? Set up a recurring invoice template and the system will issue it for you.

Extracting Data from Received Invoices Using AI
Another layer of automation is extracting data from received documents. Instead of retyping a supplier’s invoice by hand, you upload it to the app and the AI fills in the supplier, the amount, the due date and the variable symbol by itself. Invoicing from an AI Chat
The newest option is issuing invoices directly from an AI chat, without having to log into the invoicing app or fill in forms. Are you sitting in a cafe after a meeting and want to send a client an invoice right away? You type one command into ChatGPT or Claude, for example “Issue an invoice for company XY for a consultation for 5,000 CZK (about 230 USD), due in 14 days,” and everything happens in the background by itself.
This connection is made possible by a so-called MCP server, which lets an AI tool communicate with external applications. Fakturoid is currently the only Czech invoicing tool in the official ChatGPT app catalogue. You can set up the connection in a few minutes, without any technical knowledge or API keys. Through the AI chat you can also find out who owes you money and how much, have an income and expense overview generated for any period, or mark a payment as received. Administration that used to take hours is cut down to tens of minutes.
