Data box

3 tips on how to cancel your data box

Do you want to cancel your data box (datová schránka) but don’t know how? Can you even do it? For some people, having a data box is mandatory. Or perhaps you registered a trade licence in the past that you no longer use, and a data box was set up for you automatically. You don’t use it, so you simply want to cancel it. We sum up everything important in one place.

Who is required to have a data box?

All legal entities are required to have a data box (DS). From this year, this also newly applies to associations, foundations, owners’ associations and public benefit companies. The same applies to self-employed individuals. In the past, setting up a data box was voluntary for entrepreneurs and self-employed persons.

If the persons listed above did not set up a data box at their own request, one was later created for them automatically. As a result, many people who had, for example, suspended their trade licence were given a data box by law. If this applies to you too, you may well want to cancel your data box. Let’s look at how to do it.

You cannot cancel a data box

Strictly speaking, you cannot cancel a data box. What you can do, however, is make it inaccessible. In practice, it will then no longer exist. But if you fall into the first category, which has a data box set up by law, you must use it.

If you fall into the second group, which has a suspended trade licence, and you know you will not run a business again, you can make your data box inaccessible:

  • the first step is to cancel your trade licence (you can see how to do it here)
  • the next step is to make the data box itself inaccessible, which you can do at a CZECH POINT contact office or within the data box environment (but here you must log in using Citizen Identity)

What is Citizen Identity (Identita občana)?

It is a tool that lets you log in easily to several public administration portals. For example, you can manage your matters with state funds (grant applications), the VZP point or your driver’s record extract. Through Citizen Identity, you can even arrange parental allowance (rodičovský příspěvek), that is, submit an application, and much more. In our view, it is a fairly practical tool in the modern age.

In what other cases can a data box be made inaccessible?

  • on the death of the person to whom the data box belonged
  • dissolution of a legal entity
  • restriction of liberty (deprivation of legal capacity)

To conclude, having a data box is very practical. You don’t have to go to every authority in person; you can simply send documents from the comfort of your home. There is no reason to be afraid of receiving and sending mail through a data box. If you are not sure how to do it, you can ask a family member to help you log in and explain the basics. If you happen to forget your password or username, you need to visit a CZECH POINT contact office. They will then generate new login details for you and explain how to log in again successfully.
